Job Overview: The Admin Manager in Real Estate is responsible for overseeing the administrative functions of a real estate office or real estate team. This role requires an individual with strong organizational skills, knowledge of real estate processes, and the ability to manage office operations and support the real estate team to ensure smooth day-to-day operations. Key Responsibilities: • Office Management: • Oversee the smooth operation of the office environment, ensuring all administrative tasks are executed efficiently. • Manage office supplies, equipment, and systems, ensuring the office is fully stocked and operational. • Coordinate and manage office space and facilities, handling maintenance, upgrades, and security needs. • Team Support: • Provide administrative support to real estate agents, brokers, and management. • Ensure all necessary documents for real estate transactions (sales, leases, etc.) are prepared, filed, and tracked. • Assist in the onboarding and training of new employees, including real estate agents and other staff members. • Client and Vendor Relations: • Serve as the primary point of contact for clients, contractors, vendors, and service providers. • Coordinate and schedule meetings, property viewings, and appointments for real estate agents and clients. • Maintain and update client and vendor databases, ensuring accurate information is readily available. • Document and Record Management: • Ensure all real estate transactions, contracts, and paperwork are completed and filed in compliance with company policies and legal requirements. • Monitor and maintain records of contracts, leases, sales agreements, and other essential documentation. • Ensure all documents are handled confidentially and in accordance with company and regulatory requirements. • Financial and Budgeting Assistance: • Assist with budget preparation and tracking of expenses related to office operations and real estate transactions. • Process invoices, payments, and monitor budget for office and real estate operations. • Assist in preparing financial reports and manage petty cash as needed. • Compliance and Legal: • Ensure compliance with real estate regulations, local laws, and company policies. • Assist in preparing documents for legal review, ensuring all required documentation is available and correct. • Marketing and Promotion: • Assist with the preparation of marketing materials and property listings. • Coordinate online and offline marketing campaigns for available properties and services. • Help maintain and update the company’s website, social media profiles, and listing portals. Qualifications and Requirements: • Education: Bachelor's degree in Business Administration, Real Estate, or a related field (preferred). • Experience: • Minimum of 2-5 years of experience in real estate administration or office management. • Experience in managing office operations and supporting real estate teams is preferred. • Skills: • Strong knowledge of office software (Microsoft Office Suite, CRM software, etc.). • Excellent communication and interpersonal skills. • Strong organizational and multitasking abilities. • Attention to detail with a high level of accuracy. • Ability to maintain confidentiality and handle sensitive information. • Knowledge of real estate laws and regulations is an advantage.
