Job Title: Data Quality & Systems Specialist
Department: Technology – Data & Systems
Reports To: Head of IT
Position Overview
The Data Quality & Systems Specialist will strengthen the organization’s data foundation by ensuring that program, operational, and institutional data is accurate, structured, and reliable. The role focuses on improving data quality, integrating systems, standardizing data practices, and enabling effective reporting and decision-making across departments.
This position plays a critical role in building the infrastructure required for reliable analytics, automation, and future AI-enabled systems.
Key Responsibilities
Data Audit & Mapping
• Conduct a comprehensive inventory of organizational data sources, including systems, spreadsheets, forms, and databases.
• Map how data flows across departments, identifying sources, usage points, and dependencies.
• Evaluate datasets for completeness, accuracy, consistency, and reliability.
• Prepare a consolidated data landscape overview for leadership.
Data Standardization & Quality Management
• Establish standard data formats, field definitions, and naming conventions across programs and departments.
• Identify and resolve duplicate or inconsistent records through structured data-cleaning initiatives.
• Develop and maintain a centralized Data Dictionary for key datasets.
• Implement validation rules and controls at data entry points to improve data accuracy.
• Conduct periodic data quality reviews and provide improvement recommendations.
Systems Integration & MIS Management
• Manage and maintain the organization’s Management Information System (MIS).
• Coordinate integrations between key systems such as HRMS, program databases, survey tools, donor systems, and accounting software.
• Identify opportunities to reduce manual data transfers by improving system connectivity and workflows.
• Maintain documentation of system integrations and data architecture.
Master Data & Beneficiary Records
• Support the development of a unified beneficiary identification framework across programs.
• Maintain centralized beneficiary records and ensure consistency across program databases.
• Develop protocols for linking historical records and maintaining data continuity.
Data Governance & Compliance
• Develop and maintain organizational data governance practices, including access control and data ownership guidelines.
• Train departmental data stewards on data management practices and quality standards.
• Ensure compliance with relevant data protection regulations and internal policies.
• Support incident response protocols related to data security or breaches.
Reporting Infrastructure
• Improve reporting systems to enable faster and more reliable generation of program and organizational reports.
• Develop standardized reporting templates for leadership, donors, and regulatory requirements.
• Support development of dashboards and analytics tools by ensuring underlying data integrity.
Qualifications & Experience
• 3–5 years of experience in data management, MIS, analytics, or systems-related roles.
• Experience working with large datasets and cross-departmental data systems.
• Experience in the nonprofit, development, or public sector is preferred.
Technical Skills
• Strong proficiency in Excel or Google Sheets (advanced formulas, pivot tables, data validation).
• Working knowledge of SQL or database tools.
• Experience with data collection platforms or MIS systems.
• Familiarity with APIs and system integrations.
• Understanding of data modeling concepts and relational databases.
Core Competencies
• Strong analytical and problem-solving ability.
• High attention to detail and commitment to data accuracy.
• Ability to translate complex data issues into practical solutions.
• Clear documentation and communication skills for both technical and non-technical stakeholders.
• Ability to collaborate across departments and manage competing priorities.

• Experience with Python or R for data cleaning or automation.
• Exposure to data visualization or dashboard tools.
• Familiarity with data governance frameworks and data protection practices.
• Experience with large-scale data deduplication or database restructuring.
