ROLES: To Manage Office Administration & Facility Management of the company. Complete management of admin database & documentation Should handle Creche & Female Facilitation services.RESPONSIBILITIES: Office Facility management Define scope of work towards admin purchases; creation of purchase requisition into SAP . Controller for admin-budget management.Receipt of all invoices at FTCI Pune; approvals from users and finally MIGO in the SAP system ( Goods Inward)Timely demand of consumables pertaining to admin dept & ensure in time delivery from vendor.Handling of communication services pertaining to employees with regards to mobile connection, Datacard connection, International travel cards etc. Support to employees during international travels for connectivity.Local Travel bookings & travel within India . Pool car management.Handling of Admin Imprest & Petty cash under supervision of Admin Head.Handling of all government compliance pertaining to the company like DISH, Labour Office -TPC, MIDC, MSEDCL, MPCB etc.Manage Admin Help Desk complaints /requests with TAT solution to user-employee.Support to Front Office : Manage reception in emergency & its allied work Execution & co-ordination of all inventory pertaining to communications like Data card /Hand phones / Mobile connections/International travel cards. Keys Management : Handling of all employee lockers / director/country manager offices etcTeam Player for coordination of events, activities & Functions in FaureciaPreparation of Admin MIS and submit to reporting head by every 10th of the next month. Tracker of monthly admin expenses .Material movement recording of the company (PPV, IT and general items). Verification in case of surprise stock check.Records and upkeep of all the assets including purchases through STPI .Monthly & annual closing inventory inward and outward on or before last working day of the month/ year. Processing the approval of all bills and ensure in time payments.Should be willing to handle the Creche & Female facilitation services as a coordinator for female employees.Any other admin & facility related work decided by Admin head time to time.Document Management Preparation of Admin MIS and submit to reporting head every 28th of the month. Material movement recording of the company (PPV, IT and general items) Admin Portal data documentation (Consolidation)Monthly & annual closing inventory inward and outward on or before last working day of the month/ year. Processing and approval of bills for (IDEA, Vodafone, Tatatel, Reliance, contract employees, housekeeping, electrician and general services).Ensure in time payments of statutory services.Safe custody of all Government compliance documents and ensuring update of records.To uphold & abide by code of ethics & ManagementAUTHORISATION:To decide on office boys needed to complete the admin tasks.To take decision incase of shortage of food for employees based on limits prescribed. To decide on administrative standards for FTCI. To decide necessary action in case of emergency/accident.To handle pool car /company car day to day travel management.Qualifications: The ideal candidate has/ to be: Bachelors/Post Graduate in Commerce/Accountancy with prior experience of Min 8-12 years. Hands on experience is MIS activites, documentation & data management.Knowledge of Government non personnel compliance (MPCB/DISH/CLL/MIDC etc) Ideally should be residing within PCMC (around 10 kms from Vallabhnagar)Skills Required: • Result oriented Team player.• Thorough knowledge in Administration & facilities domain. Good communication skills in English ; E Mail EtiquettesHandful knowledge in MS Office especially advance Excel, Power-point.• Should understand and prioritize admin necessities and employee support.
