Job Description
Grainville India is a fast-growing rice processing and export company supplying Indian rice to buyers across Middle East, Africa, Europe, USA, and other global markets .We are looking for a smart, execution-focused Executive Assistant who will work closely with the Founder/Director and international sales team to manage buyer coordination, meeting scheduling, sales support activities, and day-to-day operational tasks . This role is sales-oriented but non-target based , focused on coordination, research, follow-ups, and execution , not closing deals.
Role Summary
- Act as a bridge between the Director, sales team, and international buyers
- Take operational and coordination workload off the Director
- Support international sales activities without having sales targets
- Manage buyer meetings, appointments, and follow-ups on behalf of leadership.
Requirements
Key Responsibilities
Buyer & Sales Support
- Research international buyers, importers, and distributors using online tools and databases
Assist sales executives with buyer lists, lead data, and follow-up tracking.
- Coordinate and schedule buyer meetings, calls, and appointments across international time zones
- Draft and send professional emails and follow-ups to buyers on behalf of the Director or sales team
- Maintain and update Zoho CRM with buyer information, meeting notes, and follow-ups.
Executive Assistance & Coordination
- Manage the Director’s calendar , priorities, and daily task coordination
- Act as a point of contact for internal teams and external stakeholders
- Coordinate with sales, operations, logistics, and finance teams on behalf of the Director
- Track action items, reminders, and commitments to ensure timely follow-ups.
Operations & Documentation Support
- Prepare basic reports, Excel sheets, and internal trackers
- Assist in organizing export-related documents and business records
- Support internal coordination related to shipments, inspections, and vendors (support role only)
Candidate Profile
- 1–4 years of experience in Executive Assistant, Sales Coordinator, Business Support, or Sales Operations roles
- Strong spoken and written English
- Comfortable coordinating with international buyers and overseas teams
- Good working knowledge of Zoho CRM, MS Excel, Gmail, Calendar, and Google Workspace
- Ability to manage multiple follow-ups, meetings, and priorities
- Proactive, detail-oriented, and reliable
- No sales targets – but exposure to sales or export coordination is preferred
