The Automation Representative is responsible for ensuring timely, accurate, and efficient processing of invoices within Clients automation system. This role supports the operational workflow by validating documentation, applying client-specific requirements, troubleshooting exceptions, and collaborating with various internal departments to maintain service quality and compliance.
The ideal candidate demonstrates strong analytical skills, consistency, attention to detail, and the ability to work in a fast-paced, high-volume environment while maintaining excellent customer service standards.
Key Responsibilities
Invoice Processing
• Process high-volume invoices within the automation platform following all SOPs, including required automation steps & tagging standards.
• Review documentation such as Rate Confirmations, BOLs, PODs, lumper receipts, and detention paperwork to ensure accuracy and compliance.
• Apply client-specific exceptions, including recourse clients and specialized rules
• Identify discrepancies (wrong broker, wrong load number, missing documents) and escalate appropriately. Exception Resolution
• Complete rate checks and setup checks as required.
• Work in the submitted tab when automation is caught up, ensuring timely processing.
Communication & Collaboration
• Provide clear, accurate notes within each invoice to support traceability and audit requirements.
• Partner with Account Coordinators, Senior Account Coordinators and Account Managers, to resolve issues and maintain workflow.
• Handle inbound calls for assigned teams when needed to support operational coverage.
Quality Assurance & Compliance
• Maintain high accuracy and low error rates in invoice processing and documentation review.
• Participate in QA reviews, coaching sessions, and PIPs (if applicable) to continuously improve performance and quality.
• Ensure adherence to all company SOPs, compliance standards, and departmental targets.
Productivity Requirements
• Meet established daily and monthly production goals
• Maintain consistency in output, accuracy, and adherence to processing timelines.
• Adapt quickly to new boards, clients, and workflow changes as assigned.
