Job Title Executive Assistant to CEO/Managing Director & School Secretary (CBSE) Location Bangalore, Karnataka Reporting To CEO/Managing Director Role Summary We are seeking a highly organized, discreet, and compliance-oriented professional to serve as Executive Assistant to the CEO/Managing Director and Secretary for our CBSE-affiliated school. This role requires strategic executive support, strong regulatory knowledge, documentation excellence. Key Responsibilities A. Executive Support to CEO / Managing Director & School Secretary 1. Executive & Strategic Support Manage the CEO/MD's calendar, meetings, appointments, and scheduling priorities. Coordinate board and trust meetings, including preparation of agendas and documentation. Prepare presentations, MIS reports, executive dashboards, and briefing notes. Track strategic initiatives and ensure timely follow-up on action items. Assist in decision-making by providing relevant data, reminders, and background information. Handle confidential correspondence, emails, phone calls, and official communications with discretion. Act as a liaison between the CEO/MD and internal/external stakeholders. Support the CEO/MD with assigned professional and occasional personal tasks. 2. Meeting & Communication Management Organize meetings, record minutes, and circulate action points within defined timelines. Draft official letters, notices, circulars, reports, and correspondence. Manage office communications effectively and professionally. Ensure timely dissemination of information to staff and stakeholders. 3. School Administration & Compliance Maintain statutory registers and ensure compliance with CBSE and RTE regulations. Oversee admission documentation and ensure accuracy of student records. Maintain comprehensive records of students, staff, and institutional documentation. Coordinate with staff and parents regarding administrative matters and grievance documentation. Ensure confidentiality and secure handling of school records. Support internal and statutory audits by maintaining audit-ready documentation. 4. Documentation & Records Management Organize and maintain physical and digital filing systems. Ensure proper documentation control and easy retrieval of important records. Maintain updated and accurate administrative databases. Required Qualifications Graduate or Postgraduate degree (MBA preferred). 5-10 years of experience in executive assistance and/or school administration. Working knowledge of CBSE and Karnataka Education Board norms. Proficiency in MS Office and school ERP systems. Excellent written and verbal communication skills in English (Kannada proficiency preferred). Fast and accurate typing skills in both English and Kannada. Strong file management and office administration skills. Required Competencies Excellent organizational and time-management skills. Strong multitasking and structured planning abilities. High level of discretion, integrity, and professionalism. Strong follow-up discipline and attention to detail. Ability to handle confidential information responsibly. Effective stakeholder coordination and communication skills.
