Responsibilities:

Manage operational assigned projects, IMS documentation and assisting Operational team in analyses current data compilation and reporting methodology towards digitalization and simplification.

 

Job Summary

As an Engineer, administrative role managing assigned operational projects, IMS documentation and keeping updated, simplify current daily operational reports towards automation and digitalization.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Operational Project Management:

  •    Track and follow up on assigned operational projects, e.g., Manufacturing Common Centre (MCC) to ensure milestones are met on schedule.
  • Review operational relates Oracle system data.
  •    Coordinate with cross-functional teams (Engineering, Quality, IT) to gather updates, resolve blockers, and maintain project momentum.
  •    Prepare project status summaries and present progress during weekly production meetings.
  •    Maintain project trackers, action item logs, and escalation records.
  •    Support the implementation and rollout of new operational systems or tools as directed by the Production Manager.

 

IMS Documentation Management

  • Review and update IMS (Integrated Management System) documents on a regular cycle to ensure compliance with audit and certification requirements.
  •   Coordinate document review schedules with document owners and ensure timely sign-off and approval.
  • Identify gaps, outdated references, or non-conformances in existing documentation and flag them for correction.
  • Support preparation for internal and external audits (IMS, RBA, and BCP) by ensuring documentation readiness.
  •   Maintain a master document tracker with revision status, review dates, and ownership details.
  •   Ensure all controlled documents are properly filed and accessible to relevant stakeholders.

 

Digitalization & Simplification

  •    Review all existing operational reports used by shift supervisors and identify opportunities for automation, digitalization, or simplification.
  •    Analyse current data compilation and reporting methodology to propose improvements.
  •    Develop automated dashboards or reporting tools (using Excel VBA, Power BI, Python, or similar) to reduce manual data entry and improve accuracy.
  •    Collaborate with IT and Engineering teams to integrate data sources and streamline report generation.
  •    Standardize report formats and ensure alignment with operational KPI requirements.
  •   Train end-users (supervisors, technicians) on new application and provide user guides or SOPs for adopted solutions.

 

Additional Responsibilies

  •    Participate in Lean, Kaizen, or 5S improvement activities within the operations area.
  •    Assist in data analysis for yield, utilization, and downtime trends to support operational decision-making.
  •   Support ad-hoc tasks assigned by the Production Manager or Senior Supervisor related to operational efficiency.
  •    Contribute ideas and solutions during team discussions, FMEA reviews, or 8D investigations.
  •    Assist in preparing reports and documentation for management review meetings.

Qualifications & Requirements

Education:

  •    Bachelor's or Master’s Degree in Engineering / Sciences (Industrial, Manufacturing, Mechanical, Electrical, or related discipline).
  •    Fresh graduates (NCG or ECT)

 

Technical Skills:

  •    Proficient in Microsoft Excel (pivot tables, formulas, macros/VBA is a plus).
  •    Familiarity with data visualization tools (Power BI, Tableau, or similar).
  •    Basic programming or scripting knowledge (Python, SQL, or VBA) for automation tasks is an advantage.
  •    Understanding of IMS frameworks (ISO 9001, ISO 14001, ISO 45001) is a plus.
  •    Knowledge of manufacturing systems (e.g., MESA/MES) is an added advantage.

Soft Skills:

  •    Strong follow-up and organizational skills – able to track multiple tasks and drive them to closure.
  •    Good communication skills (written and verbal) for cross-functional coordination and report preparation.
  •    Analytical mindset with attention to detail.
  •    Self-motivated, proactive, and able to work independently with minimal supervision.
  •    Willingness to learn manufacturing operations and spend time on the production floor.
  • Basic Programming skills added advantage.
