About the Role
We are seeking a Billboard & In-Mall Production Manager to oversee the end-to-end production, installation, maintenance, and operational delivery of high-visibility outdoor and indoor media campaigns.
This role sits within Production / Operations and is responsible for ensuring creative concepts are translated into accurate, high-quality physical executions. You will coordinate printers, installers, landlords, internal teams, and other suppliers while managing production timelines, quality standards, budgets, documentation, and campaign deadlines.
Key Responsibilities
Production & Artwork Management
- Manage the complete production lifecycle for billboard and in-mall campaigns.
- Obtain, verify, and distribute accurate technical specifications and substrates to printers.
- Maintain active production chaselist trackers and ensure artwork progresses well ahead of flighting dates.
- Coordinate proofs, test prints, special builds, cut-outs, and non-standard executions.
- Obtain supplier quotations and monitor production timelines.
- Proactively communicate production status, risks, delays, and required actions to stakeholders.
Flighting & Installation
- Build and maintain the master flighting schedule.
- Issue advance flighting notices to relevant teams.
- Brief installation teams with accurate artwork, addresses, and site information.
- Track installations against agreed deadlines.
- Immediately escalate site access challenges, installation delays, or other delivery risks.
- Secure, verify, and upload dated photographic proofs within 24 hours of flighting.
Maintenance & Site Operations
- Coordinate site upkeep, including structural, illumination, and artwork repairs, as well as required tree trimming.
- Solicit supplier quotations for maintenance work.
- Secure approvals and issue work instructions.
- Coordinate landlord and shopping-centre access.
- Track repairs through to completion.
- Obtain photographic sign-off for completed maintenance work.
- Resolve maintenance issues within target turnaround times of approximately 14 days for standard maintenance and 21 days for illumination.
Procurement & Financial Administration
- Prepare weekly Purchase Order (PO) requests and maintain accurate tracking logs.
- Follow up with suppliers for commercial invoices.
- Match supplier invoices against approved quotations and completed work.
- Investigate and resolve discrepancies.
- Ensure supplier commercial invoices are submitted within required monthly finance deadlines.
- Maintain the required timeline for supplier invoices during the first week of each month and prior-month invoices by the 10th.
Supplier & Stakeholder Management
- Build and maintain professional relationships with printers, installers, landlords, and internal teams.
- Hold suppliers accountable for agreed quality standards, budgets, specifications, and deadlines.
- Communicate potential challenges early and provide practical solutions.
