Role Summary

We're looking for a detail-driven professional to own the financial control layer between our warehouse operations and sales/distribution channels. This role sits at the intersection of ops and finance - covering order-to-invoice reconciliation, inventory quantity movement, returns and claims, and marketplace/channel financial communication - while also driving inventory governance, audit readiness, and the SOPs that make these processes scalable as the business grows.

Key Responsibilities

Order-to-Invoice & Quantity Reconciliation

  • Own the PO → SO → invoice reconciliation cycle end-to-end.
  • Track and reconcile quantity ("quant") movement of inventory across WMS, ERP, and channel systems to ensure physical stock aligns with financial records.
  • Identify mismatches between purchase orders, sales orders, invoices, and stock movement; drive root-cause resolution.
  • Coordinate with warehouse, sales ops, and accounts teams to close open/ageing items within defined TAT.

Returns, Shortage & Excess Management

  • Manage the full returns lifecycle across sales channels: Return Orders (RO), Return-to-Vendor (RTV), and inward processing.
  • Ensure accurate accounting of returns and inventory reconciliation post-inward.
  • Investigate shortage and excess variances; drive timely book closure in line with monthly/periodic close timelines.
  • File, track, and follow up on SPF (Stock/Seller Protection Fund) claims; reconcile settlements against filed claims and escalate shortfalls.

Marketplace & Channel Financial Communication

  • Own marketplace/channel financial email communication and drive open issues to closure.
  • Raise and track tickets for marketplace (MP) line-item discrepancies through to resolution.
  • Establish a structured, recurring communication cadence with channel partners' finance/account teams to resolve open discrepancies.
  • Maintain a discrepancy tracker with defined SLAs.

Credit/Debit Note Management

  • Raise credit notes and debit notes for returns, shortages, damages, and pricing/rate discrepancies.
  • Ensure GST-compliant documentation on all CN/DN transactions.

Inventory Governance & Documentation

  • Own inventory-led business documentation, ensuring finance aspects (valuation, movement records, adjustments) are accurately captured.
  • Drive inventory governance - controls, checks, and policy adherence across the warehouse-finance interface.
  • Ensure documentation and processes remain audit-ready at all times.

Process, SOP & Audit Ownership

  • Design and document SOPs for reconciliation, returns, claims, and inventory processes.
  • Lead audits (internal/external, stock and financial) related to inventory and channel finance - coordinate with auditors, track findings, and drive closure.
  • Identify process gaps and drive standardization/automation across warehouse-finance workflows.
  • Train warehouse and accounts teams on SOP adherence.

Requirements

  • Bachelor's degree in Commerce / Finance / Accounting (B.Com, M.Com, or MBA Finance preferred).
  • 2–5 years of experience in warehouse finance, order-to-cash reconciliation, or AR/AP roles, preferably in a business operating across multiple sales/distribution channels.
  • Working knowledge of ERP/WMS systems (preferably Unicommerce, Logic, or similar).
  • Strong Excel skills.
  • Strong understanding of GST provisions applicable to credit/debit notes.
  • Understanding of inventory governance and control frameworks.
  • Strong stakeholder communication skills, with the confidence to negotiate and follow up with external channel partners.
  • Prior experience setting up SOPs/process documentation from scratch.
  • Exposure to leading or supporting inventory/financial audits.
  • Exposure to dispute resolution or claims management with channel partners.
