Job Description

We are looking for an experienced Retail HR Operations professional to manage end-to-end HR operations across multi-location retail stores. The role will act as a key HR SPOC for retail teams, ensuring smooth people operations, strong statutory compliance, accurate HR data governance, and a consistent employee experience across stores.

Key Responsibilities:

Retail HR Operations

  • Manage end-to-end HR operations for retail store employees across multiple locations, ensuring consistency and zero process gaps.
  • Act as the primary HR SPOC for Store Managers, ASMs, and Retail Ops teams for all HR-Ops matters.
  • Ensure smooth day-to-day HR support to retail operations with minimal disruption to business.

Payroll & Statutory Compliance

  • Coordinate with payroll and compliance vendors to ensure timely and accurate processing of payroll and statutory compliances including PF, ESI, PT, LWF, Gratuity, Bonus, and Shops & Establishment.

Employee Lifecycle Management

  • Manage the complete employee lifecycle for retail staff including:
  • Onboarding & documentation
  • Confirmation & role changes
  • Transfers (inter-store / inter-city)
  • Offboarding management including but not limited to final settlements, and absconding cases, Attrition analysis and management
  • Ensure all lifecycle actions are properly documented, approved, and audit-compliant.

Data Governance

  • Maintain accurate and up-to-date employee data for data sanity on HRMS (Keka or similar) including personal /job details, role changes, attendance, and exit records.
  • Ensure data integrity and support HR reporting, audits, and leadership reviews.
  • Monitor HRMS workflows and approvals to prevent data leakage or delays.

Employee Queries & Grievance Handling

  • Address employee queries related to salary, attendance, leave, benefits, and policies within defined TATs.
  • Handle store-level grievances sensitively and ensure proper escalation, documentation, and closure.
  • Support disciplinary processes in coordination with Retail Ops, and Legal.

Manpower Planning & Retail Support

  • Support Retail Leadership with manpower planning, hiring coordination, store staffing, and replacement tracking.
  • Monitor attrition trends, absenteeism, and staffing gaps at store level and flag risks proactively.
  • Work closely with TA teams to ensure timely closures of retail hiring requirements.

HR MIS & Reporting

  • Prepare and share regular HR MIS including headcount, attrition, attendance, payroll status, and compliance trackers.
  • Provide store-wise, city-wise, and AM-wise reports to support decision-making.
  • Highlight red flags and actionable insights to HR Head and Retail Leadership.

Employee Engagement & Culture

  • Drive and support employee engagement initiatives at retail locations including festivals, recognition activities, and morale-building programs.
  • Coordinate with stores to ensure consistent execution of engagement calendars.

Governance & Process Adherence

  • Ensure adherence to HR policies, SOPs, and audit-aligned processes across all retail locations.
  • Support initiatives aimed at zero leakage HR operations by identifying gaps and driving corrective actions.

Desired Candidate Profile

  • Strong hold on communication
  • 4–5 years of experience in HR Operations, preferably in Retail, QSR, FMCG, or multi-location frontline workforce environments
  • Strong hands-on experience in end-to-end retail HR operations, including payroll coordination, statutory compliance, employee lifecycle management, and store-level HR support
  • Practical exposure to statutory compliances such as PF, ESI, PT, LWF, Gratuity, Bonus, and Shops & Establishment across multiple states
  • Experience in managing onboarding, transfers, exits, absconding cases, and attrition analysis for large retail teams
  • Strong working knowledge of HRMS platforms (Keka or similar) with a focus on data accuracy, approvals, and reporting
  • Proven ability to handle employee queries and grievances with sensitivity, structure, and timely closure
  • Experience supporting manpower planning, staffing gaps, and hiring coordination with TA and Retail Ops teams
  • Comfortable preparing and analysing HR MIS including headcount, attrition, attendance, payroll, and compliance dashboards
  • High attention to detail with an audit-first mindset and ability to identify and close HR process gaps
  • Strong communication skills to work effectively with Store Managers, ASMs, Retail Leadership, Payroll Vendors, Legal, and HR Head
  • Ability to work in a fast-paced, operations-driven retail environment with minimal supervision and Strong hold on communication
